Keep only documents that support a real recovery task
A passport scan can help identify the lost document or support an issuing authority’s process, but it is not a travel document and does not guarantee replacement. Build the set around the official steps for your nationality and destination. Minimize identity data because every extra scan increases the consequence of device or account compromise.
Build a testable recovery path
- 01Check the issuing authority’s current lost-passport and emergency-document instructions.
- 02List the minimum passport, visa, residency, insurance and itinerary evidence relevant to this trip.
- 03Distinguish an official original, protected reference copy and temporary submission copy.
- 04Choose an emergency contact who understands the limited role and access condition.
- 05Record expiry dates and a post-trip review date.
Log the decision without copying identity data
Document category, issuing country, document expiry, protected-copy location, emergency purpose, authorized contact, official guidance checked and review date. Do not repeat full passport numbers or attach scans to the index.
Stop and investigate when
- A scan is described as valid for border crossing.
- Copies from old trips are mixed with current documents.
- A trusted contact receives unrestricted permanent access.
A scan is not a replacement passport
Does not replace provider permissions, guaranteed backup, password recovery or enterprise identity management. A protected copy may support a process, but the issuing authority, destination and carrier decide what is accepted.
Emergency backup questions
Will a passport scan let me board a flight or cross a border?
No. It may support identification or replacement steps, but only the issuing authority and border or carrier rules determine what is accepted.
Should every travel document be copied?
No. Use official instructions and the actual itinerary to keep the smallest useful recovery set.
